Quantity Takeoff or Material Takeoff?

Same measurement, different output, and buying the wrong one wastes a week.

A quantity takeoff gives you work quantities. 4,200 square feet of drywall, 180 cubic yards of concrete, 900 linear feet of 4-inch pipe. That is what you bid from.

A material takeoff gives you the purchase list. 131 sheets of 5/8″ Type X 4×12, 42 boxes of screws, 380 linear feet of corner bead, 22 buckets of all-purpose compound. That is what you order from.

The conversion is where the work is. Sheet sizing and layout waste, stick lengths and cut waste, packaging units, and the difference between what the drawing shows and what a supplier actually sells. The measurement is identical; the conversion is the product.

If you are bidding, you want the quantity takeoff. If you are buying, you want this one. Plenty of contractors need both, at different stages of the same job, and there is no reason to pay for the measurement twice.

What a Material Takeoff Includes

Products by exact specification. Size, gauge, thickness, grade, finish and model where the schedule calls one out.

Purchase units, not measurement units. Sheets rather than square feet. Sticks rather than linear feet. Bags, buckets, boxes, rolls, bundles. Suppliers quote in units; a list in square feet has to be converted by somebody, and that somebody makes the errors.

Layout and cut waste calculated, not guessed. A 4,200 SF drywall area is not 131 sheets by division — it depends on wall heights, sheet orientation and how the cuts fall. We calculate it and show both the theoretical quantity and the ordering quantity.

Packaging and minimum order quantities. Applied where a product only ships in a fixed unit, so the list is orderable as written rather than rounded by whoever receives it.

Accessories and consumables. The items the drawing does not show but the installation requires — fasteners, adhesives, sealants, trim, hangers, connectors.

Organized by supplier category. So the list can be split and sent out for quotes without being re-sorted.

An assumptions and exclusions schedule. Every substitution, and every place we assumed a product where the specification was open.

From Measured Unit to Purchase Unit

This conversion is the entire service. A quantity is what the drawing contains; a purchase unit is what a supplier will actually put on a truck, and the gap between them is where orders come up short.

Where Material Orders Come Up Short

Accessories and consumables left off. Fasteners, adhesives, sealants, hangers, connectors and trim are not drawn, so they are not measured, so they are not ordered. They are also the items that stop a crew when they run out, which is why an emergency delivery for a $200 box of screws costs a day of labor.

Area divided by unit coverage. 4,200 square feet divided by 32 gives 131 sheets and ignores every cut. Real sheet count depends on wall height, orientation and where openings fall — the arithmetic is right and the order is short.

Packaging units ignored. Ordering 137 linear feet of a product sold in 10-foot sticks gets you 130 or 140, not 137. Where a product ships only in a fixed pack, the list has to round up to it or the order is unfillable as written.

One waste percentage across every product. Ten percent applied to everything is too much on stock-length pipe and not enough on patterned tile or a diagonal layout. Waste is a function of geometry and product format, so it is calculated per item.

Specification substituted silently. Where the schedule names a product and the takeoff lists a generic equivalent, somebody has made a purchasing decision without saying so. We carry the specified product and flag every open specification as a substitution point instead.

Scaled up from an estimate instead of measured. An estimate is organized for bidding, not for buying. Converting it into an order by applying factors compounds every assumption already inside it, and the result is a purchase list nobody can trace back to a drawing.

Specifications matter more here than on any other service, because the output is a product list rather than a quantity.

  • The drawing set for the trades you are buying — PDF, DWG, images or ZIP
  • The specification and any product schedules, which decide what gets listed
  • Finish, fixture, equipment and door or window schedules where they apply
  • Your supplier's order format or a previous order, if you want the list to match it
  • Any approved-equal substitutions already agreed, so we do not list the specified product instead
  • Stock lengths or pack sizes your supplier actually carries, where they are non-standard
  • Whether you want our waste factors or your own crews' historical figures applied

What Moves the Price

How specific the schedules are. A set with a complete product schedule converts quickly. A set that names a manufacturer on some items, a generic type on others and nothing at all on the rest needs a decision recorded for every gap, and that is the slow part.

Trade count and product variety. One trade with forty products is a different job from four trades with four hundred. Material takeoff cost tracks the number of distinct line items far more closely than it tracks project size.

How much conversion the trade needs. Concrete converts almost directly. Drywall, tile, roofing and framing need real layout work to get from area to order quantity, because the cuts decide the answer.

Whether a supplier format has to be matched. Populating your supplier's own template is usually quick and always worth it. Reverse-engineering a format from a scanned previous order takes longer, and we will tell you which case yours is.

2 · Get your quote. A flat price for the scope with a delivery date, confirmed in writing. There is no charge for the quote and no obligation once you have it.

3 · Approve. Nothing starts until you confirm. If we think a different service would suit you better, this is the point at which we say so.

4 · We measure and convert. Digital takeoff first, then conversion into purchase units with layout and cut waste calculated per product, and packaging applied where a product ships in fixed units.

5 · Delivery. The workbook, the marked-up plan set and the assumptions schedule, with a walkthrough of anything that looks off to you.

How Pricing and Turnaround Work

Quoted flat for the whole buy list, from the drawings and schedules you send. What you are paying for is the conversion, so the quote tracks the number of distinct products rather than the value of the job.

What moves the quote: trade count, product variety, how specific the schedules are, how much layout work the conversion needs, and turnaround.

The price and the delivery date are fixed in writing before you approve anything. There is no hourly billing, no retainer and no monthly minimum, and we do not start work on an open-ended basis.

Do you specify brands?

Where the specification names a product, we carry it. Where it is open, we list the generic specification and flag it as a substitution point rather than picking a manufacturer for you.

Can you do a material takeoff for one trade only?

Yes, and most of this work is single-trade.

We're a supplier, not a contractor. Can you verify a customer's order?

Yes. Send the drawings and their order, and you get an independent quantity list plus a reconciliation showing where the two differ.

What about accessories and fasteners?

Included. They are usually where an order comes up short, because they are not on the drawing.

Do you price the materials?

Not on this service — this is quantities and specifications. If you want pricing applied, that is cost estimating.

Can you work from a quantity takeoff we already have?

Yes, if it is traceable to the drawings and states its units and assumptions. We will convert it and tell you where the original quantities look inconsistent rather than converting an error faithfully.
